Appointment Policy

First Visit: When you schedule your child’s first appointment at All About Kids, it is important that the parent, or legal guardian, is present during that appointment. The reason is simple: the doctor has to have legal consent from the parent to see the patient. Furthermore, many medical and dental questions specific to your child will be asked. It is very important that these questions are answered accurately so our team can provide your child with the best care possible. Also, in order to complete the initial paperwork, please arrive at your first appointment 5-10 minutes in advance.

When the parent or guardian is not able to come to the appointment: for any appointment after the first visit, if you are not able to accompany your child to the visit, he/she can still come to the appointment with another authorized adult (over the age of 18 years). In order for All About Kids to see the patient without the parent/ guardian, we require a written authorization, CONSENT FORM TO BRING PATIENT, to be completed in advance by the parent/ guardian. Please call the office to inform our staff who will be bringing your child to the appointment, so we can send you a link with a form and give them a special welcome!

High Demand Appointment Times: after school appointments or appointments during Spring Break, Winter Break, Fall Break, Teacher Work Days and any school holiday or days that the schools are closed/out, are booked in advance due to the high demand. Hence, we kindly ask you to honor these appointments. In case your child is scheduled for a school hour appointment, we will provide an Excuse Note (please ask for it at check-out).

Tardiness: At All About Kids, your children’s appointment time is reserved specifically for them. Please accept our apology in advance if your appointment is delayed. Sometimes we need to accommodate emergency appointments or expend more time with patients in need of unexpected extra care. In cases when your appointment is delayed, you can reschedule it at your earliest convenience, and no penalties will be applied. If you arrive 10-15 minutes late for your child’s appointment, the doctors will do their best to accommodate your child. In some extreme cases, we may need to reschedule your appointment.

Confirmation Policy

Our office will call you approximately 4 days prior to your dental appointment, and the day before your appointment, to remind you that we REQUIRE a confirmation no later than the day before your appointment by 12:00 PM. If we do NOT receive a confirmation within the 4 days prior to your appointment, we reserve the right to CANCEL your appointment and give the slot to another patient in need. Please make sure the front desk has all your updated contact information!

Cancellation Policy

We require that you give our office 48 hours’ notice in the event that you need to reschedule your appointment. This allows for other patients to be scheduled into that appointment. If you miss an appointment without contacting our office within the required time, this will be considered a missed appointment. A missed appointment during a “High Demand Appointment Times” will prevent the patient to be able to book another appointment at these high-demand times, especially Saturdays and after school hours. A fee of $35.00 will be charged to you; this fee cannot be billed to your insurance company and will be your direct responsibility. No future appointments can be scheduled without the payment of this fee. Medicaid/Husky patients will be discharged for no-shows, as government rules prohibit this fee.

Financial Policy

It is very important that you understand your insurance policy before you come to the appointment. The insurance companies are responsible for a partial portion of the dental fees and you are responsible for the remaining portion. Full copayment is expected to be collected at the time of the appointment.

If your insurance does not pay the balance after the expected period of time, normally 60 days, the outstanding balance becomes your responsibility. If the insurance company pays for procedures that have been paid already by the responsible party, we will gladly refund the credit amount.

In case of an outstanding balance on your account, we will be happy to clarify any questions you have about the insurance payments and balance. Remember that the agreement for insurance coverage is between you and the insurance company; hence, any unpaid balance is your responsibility. At All About Kids, outstanding balances should be paid within 30 days from the time we mail you the account statement. If full payment is not received within this time, a 1.5% monthly (18% annually) interest rate will be added to your account, unless there are other arrangements made with our office. We reserve the right to take further actions using a private collection agency if payment is not collected within 90 days.
